Job Title: Administrative Assistant – Clinical Services

Status: Full-Time
Position Summary: The Administrative Assistant – Clinical Services supports the operational and clinical needs of the Ramp Health Operations team. This role is responsible for managing and processing lab results, supporting participant communications, coordinating logistics for results reviews, and maintaining accurate clinical documentation across multiple client accounts. The ideal candidate is detail-oriented, highly organized, and skilled at managing multiple priorities in a fast-paced environment.
Key Responsibilities: Lab Results Processing & Client Management: - Review lab results daily using our lab services system across multiple client accounts.
- Verify test accuracy, date of birth (DOB), account numbers, and resolve discrepancies with our lab services partner.
- Print and mail/email lab results to participants and clients as required.
- Update eligibility files with new data and maintain accurate client records.
- Prepare and complete end-of-month billing based on verified data.
- Flag and forward critical lab results to the clinical team for physician follow-up; update and maintain the call log spreadsheet.
- Generate and distribute customized values reports for clients on a daily basis.
Client-Specific Administrative Support (e.g., Crown): - Create participant communication materials, including announcement letters and mailing labels.
- Manage RSVP lists for blood draw appointments and results review sessions.
- Prepare and ship lab packets to onsite locations and re-mail as necessary for missed appointments.
- Assist with RSVP coordination for additional clients as needed.
Clinical Logistics & Supply Coordination: - Set up new accounts and testing protocols with our lab services, including negotiation as needed.
- Order and track all supplies required by the logistics department.
- Procure lab requisition forms and vouchers to support onsite screening events.
Qualifications: - Required:
- High school diploma or equivalent; associate degree preferred.
- Minimum of 2 years of experience in a healthcare or administrative role.
- Proficient in Microsoft Office Suite (Excel, Outlook, Word).
- Strong attention to detail and ability to work independently.
- Excellent organizational and communication skills.
- Preferred:
- Familiarity with LabCorp LINK or other EMR systems.
- Experience in clinical or wellness program operations.
- Knowledge of HIPAA compliance and handling of personal health information (PHI).
Working Conditions: - Office-based work environment
- Occasional lifting or movement of boxes or supplies (up to 25 lbs).
- May require occasional travel for special projects or events.
