Job Description
We’re looking for a driven and dedicated part-time real estate administrative assistant to join our growing team. Your job will be to complete and file the appropriate paperwork for transactions, oversee important deadlines and notify clients when necessary, and coordinate schedules for final walkthroughs and other appointments. Initially, there will be a heavy emphasis on social media. We'd rely on you to build our social media pages and daily content. You’ll also work with the team on prep for open houses. Responsibilities:
Ongoing Support
• Maintain and update a list of go-to contractors and vendors for client referrals
• Process invoices for stagers, pool companies, and other vendors
• Order office and marketing supplies (stamps, envelopes, return address labels, etc.)
• Manage weekly marketing updates to clients (posts, postcards, email updates, etc.)
• Research social media and content ideas for video and photography projects
• Assist with photo/video shoots and content organization
• Install or pick up lockboxes and signs as needed
New Listings • Schedule and coordinate stagers and photographers
• Follow up to ensure timely delivery of photos and virtual tours
• Select top photos for social media and create “Coming Soon” posts
• Verify that listing photos and descriptions accurately reflect property amenities
• Send “Just Listed” emails and gather property details (insurance, utilities, etc.)
• Coordinate pool renderings and confirm any visual marketing details
Past Clients & Client Care • Shop for and assemble referral or thank-you gifts
• Order and send gift cards for client referrals
• Deliver thoughtful touches like meals for clients after major life events
Open House Preparation • Coordinate giveaways with nearby local businesses
• Post open house promotions on social media and neighborhood groups
• Distribute doorhangers 2+ days before open houses
• Arrange food, refreshments, and printed materials for events
• Post live content and walkthrough videos during open houses
Qualifications:
• Prior real estate or marketing experience preferred
• Highly organized with strong attention to detail
• Comfortable managing multiple tasks and meeting deadlines
• Excellent written and verbal communication
• Basic knowledge of social media, Canva, and Google Workspace
• Must have reliable transportation for local errands and sign/lockbox installations
