Job Description

In this role, you'll collaborate with a team to create efficient scheduling plans and coordinate care for clients based on recommendations from our clinical team. Reporting to the Scheduling Care Supervisor and Regional Scheduling Manager, you will use your organizational skills to help implement comprehensive care solutions for each client.

What you'll be doing:
Work closely with the Scheduling Care Supervisor and Regional Scheduling Manager to understand scheduling guidelines and implement processes that ensure optimal scheduling plans for our clients.
Coordinate care schedules based on clinical recommendations and make necessary adjustments to accommodate client needs.
Identify and resolve scheduling conflicts, cancellations, and EMR errors with the guidance of your supervisor and manager.
Manage appointment cancellations and arrange for substitute coverage or make-up sessions, following scheduling equity guidelines.
Keep clients and therapists informed about scheduling updates via email or instant communication.
Collaborate with teammates to develop and implement effective scheduling strategies that align with treatment plans.
Proactively identify scheduling challenges and communicate solutions through established channels.
Process therapist availability and PTO changes with supervisor approval via the Scheduling Helpdesk.
Submit pre-authorizations and manage patient benefits cases as required.
Handle a high volume of calls, emails, and portal messages while managing internal helpdesk tickets.
Ensure compliance with HIPAA guidelines in all communications and client interactions.
Prioritize tasks, manage your time effectively, and meet deadlines set by the Scheduling Care Supervisor or Regional Scheduling Manager.
Support special projects and administrative tasks as needed by the Lead Scheduling Care Coordinator or Regional Scheduling Manager.
Maintain flexibility in your schedule to meet the needs of the Centralized Scheduling Department, including covering evening shifts or weekends when necessary.

You hold a bachelor's degree (preferred).
You have at least 2 years of scheduling experience in an office setting (preferred).
You are proficient in Microsoft Word, Excel, and internet applications, with a solid understanding of office procedures and terminology.
You have a strong command of the English language, including grammar, spelling, and composition.
You are familiar with customer service principles, including assessing client needs, meeting service quality standards, and evaluating satisfaction.
You understand HIPAA regulations and know how to safeguard patient information.
You are comfortable with occasional physical tasks, such as standing, walking, sitting, kneeling, or lifting up to 40 pounds (reasonable accommodations can be made for individuals with disabilities).

The base pay range for this position is $21.88 to $27.34 per hour, depending on your experience, education, and location.
