Overview:
In this role, you'll work closely with a dedicated team to develop and implement effective scheduling plans and coordinate care for clients, all under the guidance of the Scheduling Care Supervisor and Regional Scheduling Manager. Key Responsibilities:
Collaborate with the Scheduling Care Supervisor and Regional Scheduling Manager to implement scheduling guidelines and ensure optimal scheduling for clients.
Coordinate care and scheduling based on clinical recommendations and client needs.
Troubleshoot and resolve scheduling issues, including conflicts, cancellations, and errors, with guidance from team leaders.
Manage appointment cancellations and arrange for substitute coverage or make-up sessions as needed.
Communicate scheduling updates to both patients and therapists via email and instant messaging.
Work with teammates to design and adjust treatment plans that best meet client needs.
Proactively identify scheduling challenges and communicate solutions with the team.
Process therapist availability and time-off requests, following supervisor approval.
Handle patient benefit cases and pre-authorizations as required.
Manage a high volume of calls, emails, and helpdesk tickets while adhering to organizational processes.
Maintain a strong understanding of HIPAA regulations when discussing patient information.
Prioritize tasks and meet deadlines set by the Scheduling Care Supervisor and Regional Scheduling Manager.
Assist with special projects and administrative tasks as directed by the team.
Flexibility to work evenings and weekends, if needed, to support scheduling operations.
Perform other duties as assigned to meet team needs.
Qualifications:
A bachelor's degree is preferred.
At least 2 years of scheduling experience in an office setting is preferred.
Proficiency in Microsoft Word, Excel, and other internet applications, with a strong understanding of office systems and procedures.
Knowledge of English language principles, including spelling, grammar, and composition.
Experience with customer service, including assessing needs, meeting quality standards, and evaluating satisfaction.
Familiarity with HIPAA regulations and patient privacy protections.
Ability to occasionally stand, walk, sit, climb, kneel, or lift up to 40 pounds, with reasonable accommodations for individuals with disabilities.

Compensation:
The base pay range for this position is $21.88 to $27.34 per hour, depending on experience, education, and location.
